Overview
The HR Assistant will be pivotal to the successful day to day running of the HR Department by providing an administrative level of support to the HR lead. The HR Assistant will be the first point of call to answer employee queries about people related issues via face to face, email or telephone and help manage relevant documentation, systems and processes to ensure the smooth running of the department.
Key Responsibilities
- Perform day-to-day activities within the HR department; manage the HR Inbox and action any emails in a timely manner, answer phone calls, respond to employee enquiries, supply information to managers and teams as required and assist with all HR queries in the absence of the HR lead, escalating as appropriate
- Assist with the recruitment and onboarding process for all new employees. Arrange team interviews as well as face to face interviews as necessary and correspond with candidates to ensure they have all the relevant information. Be involved in the induction process and manage new starter forms and administration (producing new starter letters and contracts). Manage probationary period timeframes for new starters, working with line managers to ensure probationary reviews are monitored and reviewed.
- Be responsible for all office administration tasks, such as filing, email and letter writing, generating reports and presentations.
- Lead activity on HR systems; supporting the implementation of a new HRIT system and ensure all information detailed on the system is up to date. Train employees on the new system and produce training guidance and standard operating procedures.
- Be responsible for all HR process mapping activity working with the HR Lead to ensure these processes are simple and accurate
- Prepare communications, such as memos, emails, reports and other correspondence and circulate where necessary.
- Take ownership of the leaver process, including completing relevant paperwork, updating HR Systems, conducting Exit Interviews and reporting on feedback to relevant stake holders.
- Any other duties as deemed reasonable by your line manager or senior management to assist with the operation of the business.
Requirements/Qualifications
- Experienced working in an administrative role and able to demonstrate sound business management skills
- Strong interpersonal skills; comfortable communicating with a variety of individuals both internally and externally
- Excellent IT skills; promotes accuracy of data and has high levels of attention to detail
- Self-motivated, enjoys variety and ambiguity, able to take full ownership and accountability for administrative tasks within the HR function
- Full of positivity, enthusiasm and proactive remotely and face-to-face
- Passionate and enthusiastic about the people; an interest in developing a career in HR and undertaking a relevant qualification (CIPD Foundation Certificate in People Practice)
- Able to work with confidential information; demonstrate high levels of integrity and confidentiality
